Step 1: Set up your NotebookLM knowledge base

Do this once. Upload your org documents to NotebookLM. Every proposal draft draws only from these uploaded documents.

  • Mission, vision, and values statement Required
    Core context for every proposal
  • Program descriptions Required
What you do, in grant language
  • Student outcome data and impact statistics Required
Uses only what's in your uploaded documents
  • IRS 501(c)(3) determination letter Required
    Required by nearly every funder
  • Past funders list Required
    Builds credibility with new funders
  • Budget overview · Student testimonials · Service areas (optional but recommended)

Step 2: Generate your proposal prompt

Select an opportunity, copy the prompt, paste into NotebookLM alongside the funder's RFP.

No opportunities in tracker yet? Run a discovery search, add results to the tracker, and they'll appear in the dropdown above.

Step 3: Draft, review, and submit

Follow these steps inside NotebookLM after pasting the prompt.

Paste the funder's RFP into NotebookLM
Upload grant guidelines as a new source document before prompting.
Paste the generated prompt into the chat
NotebookLM drafts using only your uploaded org documents.
Fill every [INSERT: ...] placeholder
Never submit with unfilled placeholders, a funder will reject it.
Human review and edit
Check every statistic against your actual documents. Edit for your org's voice.
Internal approval and submit
No application is submitted without human sign-off. AI assists, humans decide.
Mission
Helping nonprofits spend less time searching for funding and more time advancing their mission.
Vision

30 min
staff time per week to discover, qualify, and track new leads
One Groq API key, a browser, and 30 minutes a week is all it takes. Any small nonprofit in education can clone this, update the org profile, and run it immediately.

In plain terms, this stage searches current funding sources, validates source links, compares eligibility against your org profile, flags risk or questionable output, organizes approved leads, and supports evidence-grounded proposal drafting. The table below is the technical detail behind that: which model runs each step, and its usage limit.

Model
Role & function
Limit

Layer 1 · Discover
Live web search, up to 10 searches/call. Returns funders, amounts, deadlines, URLs. Memory excludes known funders.

Layer 1.5 · Currently bypassed
Live per-URL checking is temporarily disabled, it was dropping valid URLs on the free tier. Every result is marked "needs check," confirm the link yourself before applying.

Inline editable pipeline. Status changes auto-exclude funders from future searches. Deadline badges turn red within 14 days. CSV export for team sharing.
Proposal
Select opportunity → copy generated prompt → paste into NotebookLM with funder's RFP. Drafts use only real org documents. Every gap marked [INSERT: ...].

Team data: org-owned Shared Drive

Grant data lives in a Google Sheet inside your org's Shared Drive, not on any third-party server, and not owned by any one person's account. If a volunteer who's a team member leaves, removing them from the Shared Drive's membership is all that's needed; the data stays.

One-time setup (founder/admin does this once): 1) In Google Drive, click New → Shared Drive, name it (e.g. "Fundaigo Grant Data"), and add your grant team as members. 2) Open it. The URL looks like drive.google.com/drive/folders/<ID> , copy the <ID> part. 3) Paste it above and click Save. The team spreadsheet is created inside it automatically the first time anyone loads data.
